Full Job Description:

Nautical Structures Service Center (Fort Lauderdale) is seeking a Facility Administrator who knows and understands the South Florida Yachting Service Industry. The ideal candidate has a natural ability to roll with the punches, being flexible to manage anything that might come their way. You will be a strong and reliable support to company operations, maintaining and creating procedures, communication/schedules, and safety. Understanding of normal processes such as work orders to delivery, accounts receivable, accounts payable, shipping and receiving, project management, and customer service. The successful administrator is an energetic professional who does not mind wearing multiple hats. Experienced in managing a wide range of service documentation duties and Director support-related tasks and able to work independently with little or no supervision. Well organized, flexible, and enjoys the administrative challenges of supporting an office and shop of diverse people in a service ‘project based’ business.

Job Duties

  • Manages filing systems and office supplies, maintains IT infrastructure, and keeps inventory of orders
  • Oversees staff interactions and responds to their queries on office management and project documentation issues
  • Oversees customer experience, sort mail and answers direct phone calls
  • Plan in-house or off-site activities of the organization including training and team building events
  • Arranges travel processes, including flight and hotel booking, and car rentals and per diems
  • Work collaboratively with Manager and Director (and Parts Specialist/Senior Technicians) to manage parts/materials and sub-contracted services required for each service work order and ensure timely delivery for shop kits

 

Daily and Monthly Responsibilities

  • Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting
  • Provide direct administrative supports as needed, including scheduling appointments, meetings, and events, booking travel, maintaining filing system, mailing, and shipping packages, and updating contact database and employee list
  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, maintain, and manage vendors, and coordinate food delivery as needed
  • Manage all aspects of the office’s space/infrastructure planning (moves, adds, and changes to workstations) and provide answers, resources, and solutions as requested. Maintain office efficiency by maintaining appearance of communal areas, organizing procedures, overseeing correspondence, managing filing systems and overseeing supplies, machines, and equipment.

 

Preferred Qualifications

  • Bachelor’s degree or equivalent
  • Previous success in office management
  • Engaging personality and optimistic outlook
  • Experience developing internal systems
  • Ability to oversee confidential information
  • 2+ years of office management experience
  • Strong time-management and people skills, flexibility, and multitasking ability
  • Advanced computer skills and experience with online platforms
  • Proficiency Microsoft Office, with aptitude to learn new software and systems

Specialty skills

  • Understanding of hydraulics, electrical systems, and all over mechanically inclined
